Problem

I need to add or update my email signature in Outlook.

Symptoms

New emails go out with no signature, or the signature is outdated (old title, phone number, or branding).

Solution

Create or edit your signature from Outlook's settings. The steps are slightly different between Classic Outlook and New Outlook, so use the section that matches the version you have.

Step-by-step instructions

  1. 1Classic Outlook: go to File > Options > Mail > Signatures.
  2. 2Classic Outlook: click New to create a signature (or select an existing one to edit), give it a name, and enter your signature text.
  3. 3Classic Outlook: under "Choose default signature", set it for New messages and Replies/forwards, then click OK to save.
  4. 4New Outlook: click the gear icon (Settings) > Accounts > Signatures.
  5. 5New Outlook: click New signature, name it, and enter or paste your signature text or image.
  6. 6New Outlook: toggle on "Automatically include my signature on new messages" and "on messages I reply to or forward" as needed.
  7. 7New Outlook: click Save.
  8. 8Send yourself a test email to confirm the signature appears and formats correctly.
