Add a shared mailbox in Outlook (auto-mapping)

Problem

I need access to a shared mailbox but it isn't showing up in Outlook.

Symptoms

IT has granted you access to a shared mailbox, but it doesn't automatically appear in your folder list, or you want to add it manually.

Solution

If you already have permission, the shared mailbox usually auto-maps into Outlook after a short delay or a restart. If it still doesn't appear, add it manually.

Step-by-step instructions

  1. 1Confirm you have been granted access to the shared mailbox - if not, submit a Request IT Help so an admin can grant Full Access permission.
  2. 2Close and reopen Outlook, or restart your computer - mailboxes with Full Access permission usually auto-map into the folder pane within a few minutes to a few hours.
  3. 3Classic Outlook, if it still hasn't appeared: File > Account Settings > Account Settings > select your account > Change > More Settings > Advanced tab > Add, then type the shared mailbox name or email and click OK.
  4. 4New Outlook, if it still hasn't appeared: right-click your account name in the folder pane > Add shared folder or mailbox, then type the shared mailbox email address and click Add.
  5. 5The shared mailbox should now appear in your folder pane - expand it to view its Inbox and other folders.
  6. 6Contact IT if the shared mailbox still doesn't appear after these steps, since your permission may not have applied correctly.
