How to create a rule in Outlook (New and Classic)

Problem
I want to automatically organize incoming email, for example moving messages from a sender into a folder.
Symptoms
You keep manually moving, forwarding, or deleting the same type of email and want Outlook to do it automatically.
Solution
Create an inbox rule that matches the conditions you want (sender, subject, etc.) and automatically applies an action (move, forward, delete, categorize). The steps differ slightly between Classic Outlook and New Outlook.
Step-by-step instructions
- 1Classic Outlook: go to File > Manage Rules & Alerts > New Rule.
- 2Classic Outlook: choose a template (e.g. "Move messages from someone to a folder") or start from a blank rule, then click Next.
- 3Classic Outlook: set the condition(s), such as from a specific sender or subject contains a keyword.
- 4Classic Outlook: set the action(s), such as move it to a folder, forward it, or mark it as read.
- 5Classic Outlook: add any exceptions if needed, then name the rule and click Finish. Tick "Run this rule now on messages already in the current folder" if you want it applied retroactively.
- 6New Outlook: click the gear icon (Settings) > Mail > Rules, then click "Add new rule".
- 7New Outlook: alternatively, right-click an email in your inbox and select Rules > Create rule to pre-fill conditions from that message.
- 8New Outlook: name the rule, add your condition(s) and action(s), then click Save.
- 9Test the rule by sending yourself a matching email, or check that it applied correctly to existing messages.
